Proctorio - Support for Faculty

LLCC has installed Proctorio into our Canvas LMS system in support of your online testing needs. The video below will provide you with an overview to the Proctorio system from an instructor’s perspective.

 

Getting started

To use Proctorio to administer a test, you will need to set up the software first. You will be prompted to install a Chrome extension the first time you create a proctored exam. You must install this software to proctor the exam, and you must be using the Chrome browser on a computer or Chromebook. You will not be able to administer a proctored exam using any other browser, nor a standard phone or tablet. For more assistance, check out the Proctorio Support page.

Keep in mind:

  • Especially during the current expansion of online and remote classes, not all students will have access to a computer with a web cam or microphone. Survey your students before making significant testing decisions.
  • Proctorio does not work with third party/publisher exams. It is exclusive to original exams built in the LMS.
  • Proctorio will work only work for instructors and students who are using the Chrome browser.   Due to this limitation, Proctorio will not work with smartphones and tablets even if the device has the Chrome browser.  (An exception to this is the use of a Microsoft Surface.)
  • If you will be proctoring online tests with Proctorio make sure to include any instructions, including test-taking information, equipment requirements, and expectations in your syllabus and course content.
  • Include the information below about how to access student documentation and live-chat support for Proctorio in your syllabus and course course.

As soon as the Proctorio Extension has been enabled, you will see a small gray shield in the upper right corner. Whenever you are logged into a Proctorio-enabled course in LLCC’s Blackboard or Canvas systems, this connection provides you access to live chat and to Proctorio support resources. They will answer any live chat requests promptly, 24/7.

  • Provide students with a link to the LLCC Proctorio student support page in the syllabus course content, and test instructions.

  • Giving individual students additional time or additional attempts should be set the same way you would for any test in Canvas. If for some reason a student needs to be excused from using virtual proctoring, follow the instructions below to generate a password that then must be given to a live proctor, testing center, etc. *Note - the student will still need to use Google Chrome and have the Proctorio Extension installed and enabled. If necessary, check to make sure this is possible given the designated equipment/ venue.
  1. From the drop-down menu for any test set to be Remotely Proctored, select Proctorio Availability Exceptions.
  2. Click Make Exam Flexible.
  3. Deselect the names of users who will require the password option.
  4. Click Change Proctorio Access Settings.
  5. Copy the Exam Password and give that to the testing center or live proctor. Reminder: as noted above, the student will need to use Google Chrome and install/ enable the Proctorio Extension. Check to be sure the equipment will allow this if necessary.

  • Use a saved profile to apply your favorite settings with a single click. Proctorio Profiles allow you to quickly set your preferred Proctorio exam and behavior settings across all of your courses. You will have to be logged into Chrome with the extension enabled to use and create profiles. You may create as many profiles as you would like. This way you can quickly set exam settings for everything from open note quizzes, to a high-stakes final. This will produce consistently measured suspicion levels for similar types of assessments.
  • You may also preset your preferred behavior settings for gradebook review or adjust the behavior settings from within the gradebook later. You will never have to worry about documenting your favorite settings to ensure your exams and quizzes are uniform in all of your courses.
  • You can change the severity of suspicion (behavior settings > lenient-moderate-severe) even after a quiz is over, and it will immediately "re-grade" the student videos. This allows you to dial in the settings after an exam to only see suspicious students in the areas of your interest.
  • Require students to take a practice test first (not for points) so they can resolve any technical issues before the first real exam.
  • In the Proctorio Exam Settings, it's a good idea to simplify the amount of tools you enable under "Lock Down Options".
    • Please remember that the more complex you make the test delivery settings, the more likely you and your students will experience issues. It is recommended that you start slowly with adding functionality to your proctored exams. As you use the system and you learn what works best for your needs, feel free to expand the settings as needed.
    • In the test options area, however, enabling the "force completion" can lead to numerous and distracting requests to reset examinations.
    • Avoid the setting "Record Room" since students will be asked at a random moment during the test to provide a panoramic view by moving their webcam, and some monitors are not easily moved.

  • It is important to note that the obligations of all LLCC employees to report forms of violence, abuse, or student behaviors of concern are still applicable in LLCC’s virtual environments, including live or recorded virtual classrooms, test proctoring and meetings. Prompt reporting allows LLCC to provide student support and comply with state and federal laws.
  • Student conduct concerns should be reported to Alex Berry, associate vice president, Student Success. Harassment/discrimination concerns, including potential domestic or sexual violence concerns, should be reported to Shelley Vaughan, compliance and prevention coordinator. You may also report concerns through LLCC’s online reporting form. Always remember to call the LLCC Police Department for any emergencies (217-786-2222).
  • As mandated reporters, all instructors must also report any suspected abuse or neglect of children.

Try to avoid a “Same Start Time”. Due to the current volume with COVID-19, if we have a large number of test-takers starting the exam at the same time, this will be a red flag and cause strain on our servers. This then could potentially cause longer wait times and connection errors for your test-takers when trying to get into their exam.

Best Practice: Expand your test availability time-frame and encourage your test-takers to use whatever time they feel most comfortable to start. We also recommend providing a range of days that the test is available to provide your test-takers flexibility in taking their exam.

Test-takers during these days of quarantine are using their devices for just about everything, quick reboots go a long way!

Best Practice: If students could take a moment before attempting to start their exam and make sure all programs are shut down completely, and then giving their computer a quick restart or reboot. This will make for a more efficient device functionality.

Finals is definitely a time for utmost security and lockdown of exams. During this pandemic, however, students are now located back at their homes, very far from their campuses or other available wifi locations. It might be a good idea to consider the re-entry options of an exam.

Best Practice: We expect record-breaking numbers to be on the platform and interacting with our Support Agents. This could mean that “Re-entry with agent” might not be the fastest way to re-enter if an unexpected disconnect from the exam happens. Allowing Re-entry will still mark different attempts in the Proctorio Gradebook but will be more quick and efficient for the test-taker to carry on with their exam.

Remember that during these weeks students are living with family, friends, or in other situations that are not their norm. Be prepared for these unprecedented test-taking environments when evaluating room-scans.

Best Practice: Roomscans could be a tricky setting for this semester’s exams. Consider just the “Scan at Start” or not requiring roomscans to aid a more quick and seamless exam start. Audio and video recordings should help in capturing a test-taking environment without the additional steps.

If your test-takers have never used Proctorio, set up a small practice test that is available prior to the Exam.

Best Practice: Make sure to have the practice test close the day before the Exam starts to ensure your test-takers have gone through our system diagnostic checks to ensure they are ready to go for the Exam!
